Our Process

All work is performed entirely in-house by our experienced archival technicians, using professional-grade transfer equipment, secure handling protocols, and proven project management processes. We recognize the unique responsibility involved in safeguarding irreplaceable collections, and our team is equipped to support both small-scale and comprehensive institutional projects.

Initial Inspection & Quality Assessment

Upon arrival, each item is thoroughly inspected to assess its condition and identify any preservation risks prior to digitization. Our inspection includes:

  • Evaluation of cassette or reel housing integrity
  • Assessment of tape or film substrate condition
  • Identification of physical or chemical degradation (including signs of sticky-shed syndrome, brittleness, or warping)
  • Detection of surface contaminants (dust, mold, particulates)
  • Review of any existing damage or playback risks

Cataloging & Documentation

Throughout the transfer process, detailed documentation is maintained to support both archival preservation and institutional cataloguing requirements:

  • Inspection notes are logged for each individual item
  • High-resolution reference photographs are captured for inventory and documentation
  • Client-specified file naming conventions and metadata fields are applied where provided
  • A full procedural checklist is completed to verify adherence to quality assurance protocols at each stage

Digitization & Preservation Mastering

Digitization is conducted using professional playback systems, broadcast-grade capture hardware, and controlled digital workflows to ensure archival-quality outcomes. For each item:

  • An uncompressed 8-bit preservation master file is captured to maintain maximum fidelity
  • Access copies (H.264 MP4 format) are generated to facilitate efficient storage and institutional use
  • Both master and access files are securely stored on Precision Transfers’ internal servers prior to delivery
  • All files undergo checksum verification to confirm data integrity throughout the transfer and delivery process

Our digitization standards are designed to meet or exceed prevailing archival best practices for long-term digital preservation.

Secure Delivery & Client Verification

Upon project completion:

  • Original physical materials are securely repackaged for return shipment alongside the digital deliverables
  • Digital files are transferred to encrypted external drives or client-specified cloud storage platforms
  • Chain-of-custody documentation is maintained throughout handling, storage, and delivery
  • Clients are encouraged to verify data integrity upon receipt prior to final project closure

All institutional projects are conducted under strict confidentiality, with non-disclosure agreements available upon request. At no point are client materials outsourced to third-party facilities.
